External events let you mark upcoming activities, absences, or busy days in your school calendar, so you can see in advance where you're likely to need a substitute teacher or SNA.

When to Use External Events

Use External Events when:

  • You want to plan ahead for known absences or events.
  • You need a visual reminder in your calendar.
  • You expect to need a substitute teacher or SNA.
  • You want to keep notes organised for future bookings.

How to Add an External Event


1. Select Calendar from the left-hand menu.

2.Select Add External Events.

3. Enter the event details, a name or description, the date, and any notes about staffing and press Save Event.

Note: External events are for planning only. They don't send anything to Substitute Teachers or SNAs. When you're ready to request cover, create a booking as normal.

Use external events to:

  • Flag days when multiple staff may be absent.
  • Prepare early for high-demand periods.
  • Keep internal notes without sending booking requests.
